Asset Management: Fundamental Responsibility for Everyone in Business?

The success of a company resides with the whole organization focused on delivering against their asset management responsibilities. The responsibilities apply to each functional group that play their part in managing some asset or other.

This paper looks at the responsibilities for everyone in an asset intensive business and challenges the perception usually verbalized as “We are here to make money” or “We are here to manufacture X product, safely”. These types of statements are usually provided by the person saying it as an excuse for not doing the right things, for the sake of production output, and consolidating the silo mentality that exists within organizations between the different functions.

Adoption of an Asset Management philosophy and clearly defining this as a primary responsibility of everyone in an organization will be a fundamental change for the better, for the majority of companies.

Capturing Tribal Knowledge

A serious issue facing many organizations today is the impending retirement of the “Baby Boomer” generation. An obvious problem is locating quality replacement personnel, but a second one that largely goes ignored is the knowledge and skills that leave with the retirees.

One solution is to bring the experienced personnel back on a contract basis, but that adds cost and can only be considered a temporary stopgap. A more effective and permanent solution is to capture the “tribal knowledge” in a permanent repository before the retirees leave. Most organizations have work order closeout requirements that are intended to document significant details of the job, but often the critical little “tricks of the trade” are left out because the experienced personnel doing the documentation have been doing them for years and assume that everyone else knows them.

Consider holding a “lessons learned” review meeting for the important jobs on critical equipment. The meeting should be attended by the experienced craftsman who did the work, the maintenance planner, reliability engineering and selected junior personnel. You may also want to consider using management personnel to facilitate. The intent is to go through the job step by step and update the job plan and bill of material to reflect what was actually done so it can be saved into the CMMS for use the next time. Making this investment has the following benefits:

  • Information is permanently captured in the CMMS
  • Job plan quality is improved for better execution the next time
  • The craftsman who did the work feels appreciated
  • The other craftsmen in the room receive cross-training
  • Ultimately costs are reduced because critical lessons don’t have to be learned all over again

Don’t let the critical detailed knowledge of your equipment walk out the door!
